Job DescriptionMust be an RNThe IVF Coordinator is responsible for educating and guiding the patient through the IVF and embryo transfer process.
The IVF Coordinator is the face and voice of the practice and must establish maintain a close and professional relationship with the patient.
The IVF coordinator is also responsible for helping lead their team prioritize tasks and ensure required physician orders, labs, and procedures are being performed timely and efficiently.
RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
1.
Reaches out to patients after their follow up consultation within 24-48 hours to educate and coordinate their upcoming IVF or FET treatment cycle.
Orders all required testing prior each to cycle start and follows up with the patient regarding results.
2.
Coordinates and schedules all known appointments for the patient in IVF/FET and ERA treatment cycles.
3.
Educates the patient on the plan of care, procedures, medications, treatment, lab results, etc.
to be certain the patient understands the process.
4.
Follows up to see if all required testing is completed prior to scheduled procedure.
5.
Sends prescriptions for upcoming treatment during completion of the calendar coordination and confirms delivery of medications with the patient.
6.
Checks and completes assigned ToDo's Daily.
7.
Assists other team members as needed.
8.
Establishes a professional relationship with patients by communicating the plan of care frequently with them either by phone or portal message.
9.
Documents pertinent patient information in the patient chart.
10.
Participates in lab review and reviewing of routine lab work with the physician to establish a plan and communicates this plan to the patient and updates patient calendar as needed.
11.
Answers phone calls, voice messages, and portal messages timely.
12.
Orders routine lab work, medications, and hormones per physician and/or insurance company protocols, and follows up on the results.
13.
Manually inputs testing results if they do not flow over to the chart.
14.
Obtains informed consent for procedures being performed.
15.
Performs phlebotomy procedures and collects ordered laboratory samples when needed.
16.
Completes medication prior authorizations timely to ensure no delay in patient care.
17.
Answers clinic specific faxes and uploads them into the patient chart.
18.
Educates and instructs patients on how to perform injections for treatment cycles.
19.
Updates and completes history and physical documentation to ensure accurate and up-to-date patient information in the patient's chart.
20.
Send referrals/records requests when needed.
21.
Adheres to HIPAA Guidelines and protects patient information.
