Position Overview:
Rose
Allyn Public Relations is seeking a dynamic and experienced Director of Events to lead our event planning efforts, working closely with luxury clients, sponsors, and vendors to create unforgettable experiences.
The ideal candidate will be a master multitasker with a keen eye for detail, exceptional organizational skills, and a passion for delivering events that leave a lasting impact.
This role also involves driving event marketing plans, overseeing graphic design elements, managing social media presence, and developing sales strategies to ensure event success.
Key
Responsibilities:
Event Planning & Execution:
Lead the planning and execution of a wide range of events, from intimate fundraisers to large-scale live events, ensuring every detail aligns with client expectations and brand objectives.
Creative Concept Development:
Develop creative event concepts that captivate audiences and enhance the client's brand presence, incorporating innovative and trendsetting ideas.
Public Relations Coordination:
Collaborate with the PR team to integrate events into broader public relations strategies, enhancing brand visibility and media exposure.
Marketing & Sales Strategy:
Develop and drive marketing plans for events, including social media campaigns, promotional strategies, and targeted outreach to maximize attendance and engagement.
Adapt and pivot sales strategies as needed to meet event goals.
Graphic Design:
Design marketing materials, event collateral, and digital assets using Canva, ensuring visual consistency and alignment with event themes and branding.
Vendor & Venue Management:
Build and maintain strong relationships with vendors, negotiate contracts, and manage all aspects of vendor coordination, including site visits, setup, and tear down.
Sponsor Relationships:
Cultivate long-lasting relationships with sponsors, ensuring their needs are met and they receive maximum exposure during events.
Run of Show & Event Logistics:
Oversee all logistical aspects of events, including creating and managing the run of show, timelines, and detailed site diagrams.
Food & Beverage Coordination:
Coordinate food and beverage services with caterers and vendors, ensuring high-quality service that matches the event's style and client's standards.
Team Leadership:
Lead and inspire a team of day-of event staff and volunteers, fostering a collaborative and high-energy work environment.
Budget Management:
Develop and manage event budgets, ensuring cost-effective solutions without compromising on quality or client expectations.
Client & Stakeholder Relations:
Build authentic, long-lasting relationships with clients, sponsors, and other stakeholders, providing exceptional customer service and maintaining the highest professional standards.
Qualifications:
Bachelor's degree in Event Management, Marketing, Hospitality, Public Relations, or a related field (helpful).
Extensive experience in event planning, with a focus on luxury events and high-profile clients.
Proven track record of managing a wide range of events, from small gatherings to large-scale productions.
Problem-solving and can-do attitude.
Stays calm under pressure.
This is a hands-on role.
Must be willing to get your hands dirty.
Must enjoy working with a small but mighty team.
Excellent communication and relationship-building skills.
Tremendous work ethic.
Creative thinker with a keen eye for detail and a passion for delivering outstanding results.
Ability to thrive in a fast-paced environment and handle multiple projects simultaneously.
Proficient in Microsoft Word, Outlook, Excel, Canva, and social media platforms Note:
This is not a remote position.
Our office is in Old Town Scottsdale and some weekends and evenings are required.
