Events Support Specialist / Events Administrator
We are seeking an enthusiastic and detail-oriented Events Administrator to join our team and play a pivotal role in theplanning and execution of a wide range of events and special projects.
Reporting directly to the Event Director/Producer,the Events Administrator will be responsible for coordinating a variety of logistics, providing support to the Events Team,and contributing to the success of our Youth Leadership Conference and Last Story Standing competition.
This role demands strong organizational and multitasking skills, exceptional verbal and written communication skills, the ability to work efficiently independently and collaboratively, a keen attention to detail and a passion for creating and exceptional event experiences.
Job-Related Travel Requirement:
All staff are expected to attend and support our annual In?uence Conference, heldin July or August of each year.
Travel time is up to ten days for this conference.
This position is also required to our Thrive Winter conference (4-5 days), and as-needed support for other events (e.
g.
Chapter Leaders Institute, CSP/CPAESummit).
Additional travel may arise from time-to-time.
Duties/
Responsibilities:
1.
Administrative Support:
Provide administrative and logistical support to the Event Director/Producer and at times, the Event Manager, including but not limited to tracking special project initiatives, coordinating event-related email campaigns and event asset collection, content and asset management, transportation arrangements, and a variety of scheduling initiatives.
Answering and responding to Event Team phone calls and emails.

Youth Leadership Conference:
Collaborate with the YLC volunteer team, Event Director, and/or CEO to support the planning andexecution of educational and developmental events for young participants.
Pre-Planning Duties include but are not limited to assist in logistics coordination, participant registration processes, supply orders and materials Onsite Execution:
Collaborate with Event Manager and YLC volunteer team to setup, implement and execute all initiatives for the Youth Leadership Conference; Collaborate and assist Events Team will a variety of setup/teardown processes on-site throughout the duration of each event.
Foster positive relationships with program participants, ensuring a welcoming and engaging 3.
Last Story Standing (NSA's storytelling competition):
Provide logistical and operational support to the Event Director/Producer for the planning and implementation of the LSS competition at each competition level (Chapter, Regional and National (January - August)), including coordinating communications with all participants, tracking participant and mentor information, and coordinating award order.
Collaborate with the Event Director and Marketing Team to ensure consistent branding and messaging for the LSS competition ongoing webpage updates and event graphics.
Schedule the competition debriefs and coordinate updates and oversee updates or revisions to processes and policies at the direction of the Event Director.
Qualifications:
Bachelor's degree in Event Management, Hospitality, Business, or related ?eld; relevant experience will also be Minimum 3 years' experience in Administrative Support.
Preference given to Events-specific support.
Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and projects Strong communication skills, both written and verbal, to e?ectively interact with participants, vendors, and team Pro?ciency in event management software, registration platforms, and Microsoft O?ce Ability to work e?ectively in a fast-paced environment and adapt to changing Customer-focused mindset with the ability to provide exceptional service to event participants and Positive attitude, critical thinking and problem-solving skills, and the ability to work both independently and Interest in youth development, storytelling, and philanthropic initiatives is a Ability to create and manage virtual event platform (Zoom events, ) Salesforce experience preferred but not required.
Success in this role requires strong self-discipline and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
