PROGRAM COORDINATOR
EventPro Strategies (EPS), an international agency and an impactful entrepreneurial organization with a 14

EPS is an event and experiential marketing agency that partners with national marketing agencies & corporations to staff and execute events, large & small, for hundreds of Fortune 500 brands around the world.
The Program Coordinator will be responsible for managing day to day field staff communications for EPS programs. A Program Coordinator will possess exceptional communication skills, organizational/documenting/ tracking skills, project management skills and staff supervision skills. They will be detail-oriented and be able to handle a large variety of activities and tasks within the world of event marketing and experiential marketing staffing and execution. A Program Coordinator will work on one or more programs simultaneously to bring the client's vision to life and goes above and beyond to exceed expectations. Reporting Structure:
Reports to the Program Manager
Responsibilities:
Participate in Program Kick Off call to confirm program details.
Partner with internal Recruiting Specialists to develop the ideal staff profile for each job and staffing timelines.
Screen, interview, staff and manage talent for various promotional event positions, as required.
Identify staff responsibilities and create event training based on client provided details and available resources; facilitate training in compliance with program training protocols.
Create and manage staff reporting to cover program metrics, including program report cards and other reporting as needed.
Book qualified staff, including back-ups for all assigned programs, as required.
Confirm staff prior to program execution.
Assist talent with completing on-line profiles; audit talent profiles for all required paperwork.
Verify talent's presence at all assigned events via call center, other automated systems, or manual checks, as needed.
Deploy backups for any staff that did not arrive as scheduled
Update event management system (Tracker) with staff and program changes. .
Monitor and audit post event reporting to ensure compliance and accuracy.
Reconcile staff hours and related client billings with Accounting no later than 72 hours after the end of an event.
Monitor and audit post event reporting to ensure accuracy and trends.
Complete required program recaps.
Communicate clearly and respectfully with Program managers, colleagues and clients as required.
Meet expectations for client service goals and program success metrics.
Maintain complete and updated program files with all project details and event information.
Maintain talent files with project details and performance feedback.
Develop a thorough knowledge of our industry, products and services, as well as those of our competitors and clients.
Meet deadlines, prioritize tasks, report on key accounts and deliver prompt and sound decisions.
Be available to clients, internal colleagues, and staff at all times during program activations, including weekends, by ensuring you always carry your EPS cell phone and return any missed calls promptly.
Other job duties as may be assigned or required in order to meet client deliverables.
Qualifications & Requirements:
University Degree in Communications, Marketing, Business Management and/or related industry experience.
Three plus years in events, PR, marketing, customer service, or other related industry.
In-depth knowledge of experiential marketing / promotional events.
Proficient with Microsoft Office and event execution technology tools including event management databases, survey databases (such as Survey Monkey or Formstack), learning management systems, accounting systems, etc.; Knowledge of Project management systems & CRM's preferred.
Ability to manage multiple integrated high profile projects simultaneously.
Willing and able to work nonstandard work hours and weekends as required.
A self-starter, highly organized, knowledge hungry and able to work well with employees at all levels of the organization; must have a Strong work ethic and a positive, can-do attitude. Must have a professional appearance and persona.
Highly developed verbal and written communications.
